Position Summary

4Evergreen Resources LP is seeking an organized, detail-oriented, and Administrator to join our team.

This position provides essential administrative support to our Operations, Human Resources, Health & Safety, and Project teams. The successful candidate will play a key role in maintaining accurate records, coordinating employee onboarding and training, supporting safety programs, and ensuring administrative processes are completed efficiently and consistently.

Key Responsibilities

  • Greet and direct visitors
  • Answer phones and respond to general email inquiries
  • Perform accurate and timely administrative duties including filing, scanning, document preparation, records management, and document distribution
  • Draft, prepare, and distribute professional correspondence, letters, reports, forms, and company documentation
  • Handle sensitive information in a confidential manner
  • Maintain, update, and continuously improve administrative systems and processes
  • Order and maintain office supplies
  • Maintain electronic and hard copy filing systems and archives
  • Maintain accurate employee, project, HR, and HSE records and files in accordance with company policies
  • Enter, maintain, and track data for reporting, statistics, summaries, and management review
  • Arrange for pre-employment testing
  • Arrange orientations & onboarding of employees & subcontractors
  • Schedule, track, and coordinate employee training, certifications, licences, and tickets
  • Assist with preparation of safety documentation and distribution
  • Prepare safety meeting documentation and provide administrative support for safety meetings and JHSC activities as required
  • Support internal and external audits and inspections by preparing and maintaining documentation
  • Work collaboratively with Operations, HR, Safety, and Project teams to provide administrative support
  • Prepare correspondence, reports, forms, and company documents.
  • Coordinate office supplies and support administrative process improvements.
  • Handle confidential information with professionalism and discretion.
  • Perform other administrative duties consistent with the scope of the position.

Qualifications & Experience

The successful candidate will possess:

  • Certificate or Diploma in Office Administration, Human Resources, Business Administration, Occupational Health & Safety, or a related discipline, or an equivalent combination of education and experience.
  • Minimum three (3) years of administrative, or related experience.
  • Experience working in construction, forestry, oil and gas, mining, industrial services, or a related environment is considered an asset.
  • Experience maintaining employee records, training documentation, and compliance files is an asset.
  • Experience working with confidential information.
  • Valid Class 5 Driver’s Licence is preferred.

Knowledge, Skills & Abilities

  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams.
  • Strong document management and record-keeping skills.
  • Ability to work independently while contributing effectively within a team environment.
  • Strong interpersonal skills and ability to build positive working relationships with employees, supervisors, managers, clients, and community partners.
  • Ability to exercise discretion, maintain confidentiality, and demonstrate sound judgment.
  • Demonstrated professionalism, reliability, integrity, and accountability.
  • Commitment to supporting a safe, respectful, and inclusive workplace.
